Equipment bookings

If you're a member of staff you can loan AV equipment from us. To book AV equipment, you'll need to sign in with your Essex ID and password.

We provide a range of audio and visual services to support teaching and learning, conferencing and events. Here you'll find help and information about:

Help and information

We support the audio and visual equipment in teaching rooms that are identified by Central Timetabling as core or CTO rooms. It excludes rooms that are owned and used solely by a department or professional service.

Call-out service

If you're in a teaching room and you need help using our equipment, or if you need to report a problem, then please call us. If we can't fix the problem over the phone then we'll send a technician to your room as soon as possible.

Additional support

We provide a range of video conferencing services that enable you to meet and collaborate with colleagues across our campuses or around the world, all free of charge.

  • Rooms equipped for video conferencing

    We support a number of teaching and meeting rooms that are equipped for video conferencing.

    How to book a video conferencing room

    • Colchester Campus: email the Central Timetabling Office at cto@essex.ac.uk and ask for a video conference room.
    • Southend Campus: email the Southend Campus Event Essex Team at eventsouthend@essex.ac.uk and ask for a video conference room.

    How to book technical assistance (staff only)

    If you need help setting up or using the equipment, then once your room booking has been confirmed you can request technical support.

  • Mobile video conferencing

    Colchester Campus

    If a video conferencing room isn't available, we can deliver mobile video conferencing units, also known as DAVE's, to a room of your choice.

    To book:

    1. Email the Central Timetabling Office at cto@essex.ac.uk and book a suitable room.
    2. Once your room booking has been confirmed, go to audio visual services bookings and sign in.
    3. From the top menu, select Book by Category, and then select VidCon Equipment.
    4. Find DAVE (Mobile Video Conference) Unit at Colchester, and then select Add to basket.
    5. Complete the booking steps and then await email confirmation from audio visual services.

    Bookings notes

    • We are unable to deliver mobile units to the Essex Business School, North Teaching Centre or the Tony Rich Teaching Centre.
    • Bookings should be made at least one week in advance.
    • Make sure you book the room for 30 minutes before and after the event to allow our technicians to set up and pack away the equipment.

    Southend Campus

    A full selection of video conferencing and AV equipment that can be booked by staff is available at audio visual services bookings.

  • Skype kits

    If you want to video conference from your own office or computer, then you can loan a Skype kit from us. Skype kits are plug-and-play and include a USB Camera, built-in microphone and a set of USB speakers.

    How to book a Skype kit

    1. Go to audio visual services bookings and sign in.
    2. From the top menu, select Book by Category, and then select Colchester Equipment.
    3. Find Skype Kit, and then select Add to basket. Complete the booking process.
    4. Once your booking has been confirmed, come to the AVS Helpdesk (LTB Foyer, Colchester Campus) or the IT Helpdesk (Southend Campus) to collect it.

    Notes

    • Skype kits cannot be used on teaching room computers. If you want to Skype in a teaching room you can loan a Skype enabled laptop from us.

If you're a member of staff, you can loan the following AV equipment for work purposes free of charge:

  • Laptops
  • PA systems
  • Portable projectors and screens
  • Electronic voting system equipment
  • Cameras
  • Tripods
  • Conference phones
  • Dictaphones and audio recorders
  • Skype kits

How to book a loan

  1. Go to audio visual services bookings and sign in.
  2. Once your booking has been confirmed, please come to the AVS Helpdesk (LTB Foyer) to collect the equipment.

We provide technical support for events on campus, for example Graduation, annual meetings, Registration and Events Essex.

  • Support for core events is free of charge. A core event is one identified on the Communications and External Relations timetable as such, all other events are non-core.
  • Support for non-core events is charged at £18 per technician hour during office hours.

Please contact us if you would like to discuss support for an event.

Use of our services is free of charge, however, if you require technical assistance outside of normal working hours then the following charges will apply:

  • weekdays before 9am or after 5pm, £27.00 per hour (after 5pm minimum 2 hours)
  • weekends, £36.00 per hour (minimum 4 hours)
